How to use the calendar in TourCMS (article)

What does it mean?

You can easily view all your tour departures and their availability laid out together in one handy calendar.

It's a really useful tool for keeping tabs on your departures and how many spots you've got available on each tour.

The departures are organised chronologically by date and time within the calendar, which you can view by day, week, month, or as a list.

 

What's more, the departures are colour-coded to show you their availability at a glance. You can also filter them using the checkboxes below:

 

This turns the calendar into a visual overview, allowing you to understand the overall status of your operations at a glance.

It’s in PRODUCTS > CALENDAR

 

 

What should I do?

A key feature of the calendar is the ability to manage your departures and carry out actions directly from the same page.

 

  • Searching for tours using filters

You can easily search for tours within the calendar using the tour name:

Or, if you prefer, you can filter by the status, such as Private, Public, or Distributed:

You can also filter by Product:

  • Create bookings

You can easily create bookings by clicking on the relevant departure and subsequently selecting the 'Create booking' button. The system will then redirect you to the 'New booking' interface.

 

  • Manually closing or opening a departure

You have the option to manually close or open a specific departure. To do this, simply click on the relevant departure and then select either 'Close' or 'Reopen'.

  • Adding or blocking spaces

You can adjust the availability for a specific departure by adding more spaces or blocking existing ones, based on what's currently displayed in the calendar. To do this, click on the relevant departure, then select the edit icon. From there, you can add or block the required number of spaces.

 

  • Navigating to the Manifest

You can directly access the passenger list (manifest) by clicking on the specific departure and then selecting 'Go manifest'. The system will then take you straight to the 'Manifest' screen.

 

  • Managing your departures

For further management of your departures, you can navigate to the classic departures view. To do this, click on the relevant departure and then select 'Manage departure'. The system will then redirect you to the classic 'DATES & PRICES' tab for that tour.
