What does it mean?

The Prices by agent configuration is a powerful tool that enables you to modify the retail prices of your tours selectively for specific agents or groups of agents. This allows you to implement custom pricing agreements without altering your default selling prices.

How it works

The feature works by assigning agents to 'buckets'. Each bucket contains rules that determine how the default retail price of a tour is modified for the agents within it.

These price modifications can be applied either as a percentage change or as a fixed amount change, and you can specify whether the modification is an increase or a decrease to the original price.

Crucially, these changes are applied at a rate level, offering maximum flexibility. For example, you can decrease the price of an Adult rate by a fixed amount while increasing the price of a Child rate by a percentage within the same bucket.

Benefits

Using this feature allows you to:

  • Implement custom pricing: Easily honour private or negotiated pricing agreements with specific agent partners.

  • Incentivise sales: Offer promotional pricing or volume discounts to top-performing agents to encourage further bookings.

  • Maintain control: Keep your standard, hosted booking engine prices unaffected, as modified prices are only displayed to the configured agents.

Please note: Modified prices do not appear in the hosted TourCMS booking engine; it continues to sell at your regular selling prices.

 

What should I do?

To set up custom pricing for your agents, you need to create and configure 'Buckets' within the tour settings:

Step 1: Create the agent bucket for the tour

  1. Go to the Tour Configuration area for the specific tour you wish to modify. Click on the AGENTS section.

  3. A pop-up window (modal) will appear. Fill in the following fields: 6b208093-ef23-44de-8f43-7c486394698e.png

    1. Bucket name: Your internal reference for this group (e.g., "Top Agents Discount" or "GetYourGuide Bucket").

    2. Supplier reference (Optional): An optional field to store an ID if this bucket corresponds to one in your own reservation system.

    3. Agents: In most cases, select "Selected agents only". You may optionally create one "Default bucket" per tour, which applies to all agents not explicitly placed in another bucket.

    4. Selected Agents: If not a default bucket, select the agent(s) this rule applies to. (Note: Each agent can only be added to a maximum of one bucket).

    5. Price change: Choose the primary modification method for this bucket: Percentage, Fixed amount (specified in Sale currency), or Mixture of both. Please note that you should enter the discount or markup as a value relative to the original price.

      1. Percentage: A 100% increase will double the price; a 100% decrease will make it free. The input is limited to 100. Example: If the original price is €50 and you wish to offer agents a rate of €45, you should enter a 10% discount. 23efc938-5752-4a2e-83a2-b1ebec82acf0.png

      2. Fixed amount: The fixed amount is applied in the channel's sale currency. The resulting price cannot be negative (if a decrease exceeds the sale price, the result will be 0).       3. Mixture of fixed price and percentage changes: Allows you to mix modification types (e.g., use a percentage for one rate and fixed amount for another rate) within the same bucket for increased flexibility. Example: If the original price is €50 and you wish to offer agents a rate of €45 for adults and €49 for children, you should enter a 10% discount for adults and a €1 discount for children. b71bb89a-7004-4a71-b407-6a7f9a688d84.png

    Best practice tip: If the assigned agents operate across multiple currencies, choosing the percentage method is generally recommended, as the fixed amount is tied to the channel's sale currency.

Step 2: Configure the rates

  1. Specify whether the modification is an Increase, Unchanged or a Decrease.

  2. For each individual rate listed, enter the appropriate amount (either percentage or fixed amount, depending on the chosen Price Change method).

 

Step 3: Real-Time Updates (RTU)

When a bucket is created, deleted, or updated, the relevant tour departures will be queued for processing and sent to the connected agents via Real-Time Updates (RTU) notifications, ensuring they receive the updated price changes in real-time.
