What does it mean?
The B2B Portal is a dedicated, reseller-facing website where your travel agent partners and other B2B resellers can:
- Log in with their own credentials
- Browse your product catalogue
- Book your products directly through a clean, modern interface
- Manage bookings, view commission breakdowns, and reprint vouchers
Each portal is linked to a unique subdomain (for example, yourcompany.b2b.tourcms.com). When that subdomain is accessed in a browser, TourCMS automatically loads the corresponding portal configuration.
- If the subdomain matches an active B2B Portal → the portal loads normally
- If it does not match any active portal → a 404 error page is displayed

With the B2B portal, you can:
- Create and manage portals directly from your back office.
- Customise branding, legal content, and email templates.
- Connect portals to payment gateways and travel agent accounts.
- Control product visibility across single or multiple sales channels.
What should I do?
Follow the steps below to create and configure your B2B Portal.
Step 1 — Ask us to enable B2B Portal
Before you can create a portal, the B2B Portal feature must be enabled for your account.
- What to do: Contact your Customer Success Manager and ask them to enable B2B Portal for your account. If you're not sure who to contact, you can reach our support team directly here.
- Once enabled, the menu will appear under:
Configuration → System & Setup → Your travel agent partners → B2B Portal
Step 2 — Open the B2B Portal list
In the TourCMS back office, go to:
Configuration > System & Setup > Your travel agent partners > B2B Portal

This is the main B2B Portal management page. From here you can:
- View all portals you have already created
- Edit or delete existing portals
- Open the live portal in a new tab
- Create a new portal
Step 3 — Create a new portal
Click the button to create a new portal. You only need to fill in two fields:

💡 Tip: When you enter a subdomain, the system verifies uniqueness. If another operator or supplier is already using that subdomain, you will be prompted to choose a different one.
Step 4 — Configure the portal branding
Customise the visual appearance and channel connections for your portal:

1 - Brand name — The name displayed across the portal to identify your organisation.
2 - Portal logo — Upload your logo image (max 600 × 300 px; GIF, JPEG, or PNG).
3 - Background image (login page) — The background image on the portal login page (max 3840 × 2160 px). Allowed formats: GIF, JPEG, or PNG.
4 - Branding colour — The primary brand colour applied to accents and buttons across the interface.
5 - Channels — Select the TourCMS sales channels connected to this portal. By default, all active channels are included. Adjust this if you wish to restrict which products are visible to resellers.
As you update these fields, a live preview on the right-hand side shows exactly how the portal will look once saved.
When you're happy with the result, click Save.
After saving:
- A direct portal link appears at the top of the page so you can open your live B2B Portal directly.
- Updates may take a couple of minutes to become visible in the live portal.


Step 5 — Review the B2B Portal list
When returning to the B2B Portal list, your new portal will appear:

1- The portal status is Active
2 - A warning icon indicates that Terms and Conditions and Privacy Policy still need to be configured (see next section)

4 - Delete the portal
How can I configure my legal documents?
Before letting partners use your portal, you must configure both Terms and Conditions and Privacy Policy. Without these, the warning icon on your portal status will remain.
To configure them:
- In the B2B Portal list, click the edit icon next to your portal.
- On the portal edit page, open the Legal content section.

You will see links to edit both documents:

Terms and Conditions
Click Terms and Conditions to open a WYSIWYG editor.
- Paste your reseller terms and conditions.
- You can format the content using headings, bullet lists, links, and other HTML formatting options.
- Click Save when done.

Privacy Policy
Click Privacy Policy to open the same type of editor.
- Paste your privacy policy text and format as needed.
- Click Save when done.

⚠️ Important: These legal texts are displayed on the portal login and registration pages. Reseller agencies must accept both documents before they can complete their registration. Once both are saved, the status indicator turns to OK ✅.
Once both documents are configured and saved:
- The portal legal status indicator turns green ✅

- Terms and Conditions and Privacy Policy links appear on the B2B Portal login page, so agents can review them before registering.

How can I configure my emails?
The Email Templates section manages all automated correspondence sent to agency users.
Header & Footer Customisation (Recommended)
Default templates are pre-configured with standard wording, but we strongly recommend customising the Header and Footer to match your brand:

Header:
- Header colour — Overrides or matches your portal brand colour.
- Header logo — Recommended: PNG format with a transparent background.
- Header image — Banner graphic displayed across the top.
A live preview on the right side shows your changes as you make them. When satisfied, click Save.

Footer:
- Footer logo & Footer text — Customise copyright text, contact details, links, and colours.
Preview the result on the right-hand side. When you're happy, click Save.

Email content templates
Default templates are already provided and include the necessary tokens to automatically insert the agency and operator names. There is no need to modify these templates unless you wish to customise the wording.
Navigate to the Email Templates section on the portal edit page.

1 - Registration received
Sent to the agency immediately upon submitting their registration form.

2 - Registration approved
Email sent once you approve their application, providing login access.

3 - Registration declined
Email sent to agents when their registration has been declined.

4 - Password reset
Email sent when a user requests a password reset link.

Email placeholders (Tokens)
Inside your email templates, you can use placeholders — special tokens that are automatically replaced with the correct values when the email is sent.

Payments
The B2B Portal uses the new TourCMS hosted payment page, which currently supports:
- Adyen
- Repayd (formerly Trust My Travel Protect)
- Spreedly — will soon be disabled
- Stripe — coming soon
⚠️ Any other payment gateway will not work with B2B Portal.
Where to configure:
The B2B Portal uses the payment gateway configured in Channel manager under:
Ecommerce > Web payments > Cardholder non present


Make sure this configuration is set up correctly so that payments through your B2B Portal are processed without issues.
Agency registration flow

The agency visits your B2B Portal URL and clicks Register here.

- They fill out company/contact details, accept the Terms & Conditions and Privacy Policy, and submit.
- An on-screen confirmation is displayed, and the agency receives the automated Registration received email.

Operator Review & Approval

A yellow notification box appears on the TourCMS home page when new registrations are pending. Click the notification to review requests.

- When approving, select the appropriate Travel Agent Type:
- Retail Travel Agent: The agent pays the net balance immediately at checkout using the credit card payment gateway configured in your account.
- Trusted Travel Agent: Bookings are immediately confirmed without upfront payment. Best for trusted partners/concierges who are invoiced periodically after booking.

Configure the channel connection
- After clicking approve, TourCMS redirects to the Channel Connection screen.
- Select which channels the agency can access.
- Verify connection permissions (defaults to the agent type chosen during approval) and click Create connection.
- The agency automatically receives the Registration approved email with credentials and can begin booking.

⭐ CRITICAL — Existing Agent POS users:
If an agency already exists in your TourCMS account because they previously used the Agent POS, they do not need to register again.
Simply ensure the existing agency is connected to the channels supplying the B2B Portal. They can immediately log into the B2B Portal using their existing credentials!

Good to know
- Unique Subdomains: Each portal must have a unique subdomain; duplicates are prevented across TourCMS.
- Active Status: Portals only resolve if active in the back office; deleted or non-existent subdomains display a 404 page.
- Existing Agent POS Users: Existing agencies do not re-register; simply link them to the B2B channel.
- Propagation Time: Branding, channel, and template updates take 1–2 minutes to appear live on the portal.
FAQs
Can I create more than one B2B Portal?
Yes, you can create multiple portals, each with its own subdomain, branding, and channel configuration.
Can I change my subdomain after creating the portal?
No, the subdomain cannot be changed after the portal has been created. If you need a different subdomain, you will need to create a separate B2B Portal with the new subdomain.
What happens if I delete a portal?
The subdomain becomes inactive and visitors will see a 404 page. Any agents who were using that portal will no longer be able to log in through it.
