How to update departures?

Hello! In this video, we're going to explain how to update departures.

Accessing the Mass Update Tool
To begin, go to Products, then Tours. Click on the Dates and Prices section, scroll down to the bottom, and then click on Update Multiple Departure Dates at Once.

Upon clicking, you'll find our mass update tool, designed for updating numerous departures simultaneously. This tool is divided into two main sections: one above the line and one below.

Filtering Departures for Update
Above the line, you'll find various filters that allow you to define precisely which departures you wish to update. For instance, you can update departures within a specific date range, or choose to update all future dates. Similarly, you can target only departures on a specific day of the week, or indeed all departures. You can also filter by a specific product note or even a specific supplier note. Once you've defined the departures you intend to modify, you can proceed.

In our example, we'll update departures within a specific date range. Let's select departures from December 1st to the end of December of the same year. This means only departures falling within this particular month will be updated. The remaining filters will be left as default ("all departures"), ensuring that only those within the selected date range are affected.

Applying Changes to Departures
Now, we move to the section below the line, where you can enter the information you wish to change. In our case, we're going to change the code of these departures to "Christmas."

The rest of the information can be left as it's currently set, or you can simultaneously make other changes. For example, imagine we want to change not only the code but also the customer price. So, for Christmas, instead of £50 for adults, we'll enter £45, and for children, instead of £20, we'll enter £15. Again, any other information can be left as is or modified.

Finally, you need to click "Update Matching Departures." A confirmation will appear, indicating that, for instance, 62 departures have been updated from December 1st to the end of December – for that single month. Here, you'll see only those updated departures, along with their new code and revised customer price. If we select "purchase today until end of the year" and click "refresh," you'll see the remaining departures still retain their original price and no code.

Closing Departures
This mass update tool can also be used to close departures. You can manually close departures by clicking the checkbox in the "close" column and then saving changes. However, if you have many departures to close, using the update tool is more efficient.

For example, let's say we want to close departures for a specific day of the week. We'll close departures on Sundays. To do this, select "specific day of the week" and then "Sunday." The remaining filters can be left as default ("all"). Below the line, navigate to the "Close" section and click the option "Change Close to Tick" to close those matching departures. Then, click "Update Matching Departures." Now, you can see how all departures on Sundays have been closed. And that's all!

Accessing the Update Tool for Special Offers
To begin, navigate to Products, then Tools. Select the Dates and Prices section, then scroll down to the bottom and go to Update Multiple Departure Dates at Once. Since we aim to create special offers for multiple departures, this is something we can update simultaneously using this tool. So, click here.

Filtering Departures for Special Offers
Here, you'll find various filters that you can use to select the specific departures for which you want to create special offers. For instance, let's say we only want to create special offers for departures within this month of May. So, we'll select a date range from today to the end of May this year.

Applying Special Offers
Once you have selected your desired date range, scroll down to the "Special Offer" section. Here, you can enter the special offer price. Instead of £50, for example, let's set the price to £40. You can also add an offer note for every channel. Let's type "Offer" as the note, and then click "Update Matching Departures."

Reviewing and Verifying Special Offers
You'll see a confirmation, such as "44 departures have been updated." Here, you can see our special offers, which are highlighted in yellow, specifically for this month of May. After May, the normal price will resume. To view all departures after May, you need to select them in the column filters and then click "Refresh." You will then observe that after May, the pricing returns to the original.
