How to setup a transfer price?

In the following videos, we will explain you how to configure transfer prices per vehicle or per person.

Hello! In this video, we are going to explain how to create a transfer product with price per vehicle. We will focus only on the specific settings required for this.

Initial Tour Creation and Setup
First, navigate to Products, then Tours. Scroll down and create your tour; let's name it "Transfer Test." We don't need to copy anything at this stage, so click "Create Tour."

Once our tour is created, we need to begin the setup, starting with Setup Tour Dates and Prices.

General and Time Settings
First, go to Setup. In the General tab, you must change the status to "Distributed" if you intend to distribute this product through OTAs and the TourCMS marketplace. No other changes are needed here for now.

After that, go to Times and Cutoffs. Here, you must select "Fixed Start and End Time." This will define the window during which you can offer your service. Let's say this is from 6 in the morning until 11:55 at night. Nothing else special is required here.

Configuring Cut-Offs
Crucially, in the Cut-offs section, we need to define a cut-off to ensure we can react to last-minute bookings. Let's configure the cut-off at a fixed time: 11:55 PM the day before. Then, "Save Changes."

Sales and Booking Site Configuration
Next, in the Money Sales tab, we need to change the pricing to "Price per Vehicle" as we are creating a transfer with this pricing model. "Save Changes."

Nothing special is required in the Operation Suppliers tab.

In Booking Sites, we need to configure the capacity, which signifies how many trips we can conduct in a day. Let's set a maximum of 20 trips per day. The booking size will define how many vehicles can be included in a single booking; let's say a maximum of 4. Then, "Save Changes."

Rate Types and Zone Pricing
Nothing special is needed for Categories. In Rate Types, we need to select "Multiple Rates" by default, and also "Price per Person" by default.

Here, in the Price Notes drop-down, we need to enter the different zones where we offer our service, as each zone will have a different price. Let's define:

  • Zone 1: Airport Hotels (comma, then enter)
  • Zone 2: Area near the Airport
  • Zone 3: City
  • Zone 4: Area far from the City

Then, confirm if you accept "Child Only Bookings" (yes or no). In the Rate Names, we can enter "Per Vehicle" and, in brackets, specify the maximum number of people per vehicle. For instance, "5 pax max." We can also create or activate a new rate, for example, for another type of vehicle like a van; let's say "7 pax max." Click "Save Changes."

Key Information and Description
Now, we should ideally go through Hotel Pickups, Options, Questions, Health and Safety, Descriptions and Images, and Dates and Prices. However, we'll skip most of these as no special information needs to be entered there. We'll go directly to Descriptions and Images.

Here is the key information:
We need to state where the tour takes place, for example, the country. The postal address will be the airport address.
In Geocodes, you must enter geocodes depending on the service. If it's a transfer from the airport to the city, the start point will be the airport and the end point will be the city. If it's a round trip, both the start and end points will be the same (the airport). If it's a transfer from the city to the airport, the start point will be the city and the end point will be the airport.

So, in our example, we are creating a transfer with a price per vehicle from the airport to the city, so the start point will be the airport. Click "Save," and the end point would be the city.

Then, in Tour Type, you need to select "Transport/Transfer" and here select "Airport to City," "City to Airport," or "Two-Way Return." In our case, we'll select "Airport to City."

Here, you must enter the international airport code; in our case, it's AGP. The Tour Leader will be a tour guide or driver. The Grade will be "all ages," and Accommodation will be "no accommodation." It should be suitable for everybody, but be aware that it might not be suitable for wheelchair users, depending on your specific service. Languages spoken are not critical for OTAs, but we can select "English" and then "Save Key Information."

Creating Departures with Zone Pricing
Now we go to the Text Descriptions and Video (nothing special here), and nothing special for the rest of the tabs. So, we'll go directly to Dates and Prices. Here, we need to create the departures. We'll use the One-Day Tour Activity Generator.

Select the start date and end date (let's say the end of the year). Here, you can enter the price for our two types of vehicles and for a specific zone. So, for Zone 1, the price will be £50 for a normal vehicle and £70 for a van. In the Supplier Note, you must enter the information for the zone, as this is important for OTAs; for instance, you can enter "Zone 1." Then, click "Create Departures."

Now we can see all our departures for Zone 1. You must repeat the same process for the rest of the zones. So again, go to the One-Day Tour Activity Generator, select the start and end date, select the price, select the zone, enter the supplier note, and click "Create Departures." You have to repeat this same process for all the zones. And that's all!

Hello! In this video, we are going to explain how to create a transfer product with a price per person. We will focus on the specific settings required for this product.

Tour Creation and Initial Setup
Let's begin by going to Products, then Tours. Scroll down and create your tour; we'll name it "Transfer Test Price Per Person." The product type will be "Tour," and we don't need to copy anything, so click "Create Tour."

Now that our tour is created, we need to configure all the settings, starting from Setup through to Dates and Prices.

General and Time Settings

In the Money Sales tab, as we are configuring the tour with a price per person, we need to keep this option as "Per Person" (which should be the default). Therefore, no changes are required here.

Nothing is needed in Operations and Suppliers.

In Booking Sites, the capacity will define how many people we can offer the service to in a single day. Let's say we can offer the service to 1000 people per day. The booking size will be the maximum number of people we can include in the same booking, so let's set it to a maximum of 10 people per booking. Then, "Save Changes."

Rate Types and Zone Configuration
We don't need to add anything special in Categories, so we will go directly to Rate Types. In Rate Types, we'll keep "Multiple Rates" as the default option and "Price per Person" as the default for pricing.

  • Zone 1: Airport Hotels

For "Accept Child Only Bookings," select either "Yes" or "No"; it doesn't fundamentally alter this setup, so let's choose "No" for now. In Grades, we can create different rates per person, such as "Adult" or "Child," because the price will be per person. Then, "Save Changes."

Key Information and Descriptions
We'll skip the Hotel Pickups, Options, Questions, and Health and Safety sections as there's nothing special to configure there. Next, in Descriptions and Images, under Key Information:

  • "Where does the tour take place?" – This is important: the country.
  • Postal address will be the airport address.
  • Geocodes will be the airport geocodes for both the start and end points in the case of a round trip. If it's a transfer from the airport to the city, the start point will be the airport and the end point will be the city, and vice versa if the service is a transfer from the city to the airport. In our case, let's say it's a transfer from the airport to the city, so the start point will be the airport, and the end point will be the city. Click "Save."

Now we have our start and end points. We continue with the Tour Type, which will be "Transport/Transfer." Here, we need to select the type: "Airport to City," "City to Airport," or "Two-Way Return" for a round trip. In our case, we'll select "Airport to City."

The International Airport Code in our case is AGP. The Tour Leader will be the tour guide or driver. The Grade is "all ages," and Accommodation is "no accommodation." For "Suitable for," you can select "all" or specify if it's suitable for wheelchair users or not. Let's say "Yes." Languages Spoken is not critical for OTAs (they don't typically use this information), but let's select "English." Finally, "Save Key Information."

Now, we must go to Dates and Prices to create our departures and prices. Scroll down to the One-Day Tour Activity Generator. Select the season start date and season end date (let's say the end of the year).

Here, you can enter the price; the price will be per person. So, for every adult, the price would be £20, and for every child, £10, for instance. It's important to select a zone where you offer the service and also enter the zone in the supplier note (this is important for OTAs). Then, click "Create Departures."

Now we have all our departures for Zone 1. You will have to repeat the same process for all the remaining zones. You can enter a different price for each zone, depending on the zone. For instance, it could be £40 for an adult and £20 for a child (if you have a child option) for Airport Zone 2. Here, you need to enter the supplier note "Zone 2." Click "Create Departures." Now we have departures for Zone 1 and Zone 2 every day. You'll need to repeat this process for all the zones you have configured.
