Hello everyone, in today's video, I will show you how to make a new booking. There are several ways to do so.
Ways to Create a New Booking
You either do it manually by one of the users in your account by going to their Home Page and clicking here on the right side of the screen on New Booking, or you go to Booking here on top, and this will lead you to the same page.
You can also do it via your website or booking engine, which I will explain afterwards.
Another way to do it is by a travel agent, where the booking is made by one of your connected agents will arrive in your account.
And lastly, via the TourCMS point-of-sale application. Those in this video will focus on the first two options.
Booking Screen Tabs
Before we start, I quickly want to explain the tabs that you can see in the booking page:
- First of all, the New Booking tab allows you to check the availability of your tours and issue bookings.
- Search to find and filter all the bookings in your account. Further details about this tab will be explained in another video.
- In Latest Bookings, you see a list of the latest bookings that have been made.
- Latest Assigned shows the last bookings that have been assigned to your user.
- Arriving Soon displays the bookings with a departure date in the near future.
- The next tab is Unconfirmed Bookings. As the name suggests, it shows the bookings that are not confirmed but have a provisional status.
- And lastly, Changes shows the list of bookings with the latest changes, for example, if you have made a new booking, or any cancellations, or if you change the status of the booking, etc.
Making a Manual Booking
So let's get started. Go to the New Booking tab. Here we want to select the exact date or date range for when we want to make the booking. For example, I want to see the tour availability in the next three days. As you can see, the dates have adjusted themselves. However, if you want to select a specific date range that doesn't appear here, you can do it manually.
You also need to select the channel, the product filter, and the number of people that you want to have in the booking. If you already know the tour that the customers want to book, then type in here into our code the text, the name of the tour. In my case, I want to book for people on the Majestic Tour. On the right side, you have the option to select an existing customer from your customer base and otherwise click on New Customer. Then go to Check Availability and Start Booking.
Here we see the availability of the Majestic Tour in the next three days. You can see here the capacity of each departure and also the price per person. If the booking was not available, either because it is already full or because it has already started, it would appear in purple.
So I would like to make the booking for tomorrow. So, click on this arrow under the Actions column. And in step number two, it asks you to allocate the people from your booking. I have two adults and two children. Click on Continue Booking. And in the last step, you need to fill in the information of the lead customer. I normally type in the first name, surname, and the email address, but information about the other travellers can be left blank. Then click on Complete Booking, and voila! The booking has been made. It redirects you to the detail page of the booking. In my next video, I will explain to you the details of the booking screen overview.
Making a Booking via Your Booking Engine
Now, if you would like to make a booking from your booking engine, go to Configuration, Channels, and under Booking Engine, click on Booking Engine Links. Here I need to choose the channel and the tour I want to book. Let's say "Madrid Hop-On Hop-Off 24 Hours." You also need to choose the kind of integration style, which means what happens when my customers click on "Book Online." I will choose a standard text link. After that, you have the option to send the bookings to a travel agent. And once you make these decisions, click on Show Link Code. The link appears at the bottom of the screen. Click on that.
And this will redirect me directly to my booking engine, where I can make the booking. I will book for two adults and two children. Click on Next. Here I need to decide the departure date. For November, I want to book for the 16th. Click on Next. Step number three is filling in the information of the customer. In step number four, don't forget to confirm that you agree to the terms and conditions. Click here. And now is the time for the payment. I am using our testing card. Click on Pay Now.
And here we have our booking with the reference number 128. You also have the option to download your tickets right now. Click here, and you have it here. If you want to print them, click here.
So this was it. I hope this video was helpful for you, and thank you very much for watching.
