Hello! In this video, we're going to explain how to create multiple departures for a specific tour.
Setting Up for Multiple Departures
First, navigate to Products, then Tools. Click the edit button above our tour. We'll start by checking the start and end times. To do this, go to the Setup section, and then the Times and Cutoffs tab. Here, you need to ensure "multiple start and end times" is selected, as we aim to create multiple departures with varying start and end times.
Generating Departures
Next, go to Dates and Prices. This is where we'll create our departures. We're going to create two distinct departures: one in the morning and one in the afternoon, each with different product and supplier notes. To do this, scroll down to the "One-Day Tour Activity Generator" and click on it.
Here, you'll define your season start date (let's say today) and end date (e.g., end of the year). You can then mark or unmark the days of the week; in our case, we'll keep all of them marked. Below this, you'll find the price information. Let's set it to £50 for adults and £30 for children.
Understanding Product and Supplier Notes
On the right side, you'll enter the product and supplier notes. It's important to understand the distinction: the product note is public information displayed in the booking engine, whereas the supplier note is a private field intended only for OTAs. This is particularly crucial for the mapping process, so you must ensure the supplier note is descriptive.
For our morning departure, let's use "Morgen" for German and "Morning" for English. The supplier note will also be "Morning". We'll set the start time to 9 AM and the end time to 1 PM. Then, click "Create Departures." Now, all our departures will have a 9 AM start time, 1 PM end time, and the specified supplier and product notes.
Adding Afternoon Departures
Next, we need to create the afternoon departure. To do this, go back to the "One-Day Tour Activity Generator" link. Again, define the season start date and end date (e.g., from today to the end of the year). Now, select the days of the week when the afternoon departure is offered; we'll keep all of them selected. Set the price to be the same.
Enter the product note: "Nachmittag" for German and "Afternoon" for English. The supplier note can also be "Afternoon." Set the start time to 4 PM and the end time to 8 PM. Then, click "Create Departures."
Reviewing Your Departures
Now, if you click the "Toggle Notes" button, you'll see all your departures: those at 9 AM in the morning and those at 4 PM in the afternoon, each with their corresponding product and supplier notes. And that's all!
