In this video, we will explain you how to import departures into TourCMS, using a spreadsheet.

Accessing the Import Tool
To begin, navigate to Products, then Tools. Click on the edit button, and proceed to the Dates and Prices section. Scroll down and click on the Import from Spreadsheet tool. Our CMS allows you to import your departures for a specific tool using a spreadsheet where you've previously entered all necessary departure information, such as dates, prices, and rates. This functionality can be especially useful if you offer multi-day tours where the start and end dates vary for each departure, or if you lack a clear, single row for all departures.
Manual Departure Entry
Once you're in the tool, you can fill out the fields with the required information: Code, Start Date, End Date, and Price. Then, add the departures to the list. Let's look at an example: enter the Code, Start Date, End Date, and Price, and then add the departure to the list. You can repeat this process for all your departures. Once all departures are listed here, you can create the departures by clicking on the designated button.
Importing from a Spreadsheet for Efficiency
This manual process can be time-consuming if you have a large number of departures. While it works fine for a few, it becomes very inefficient with many. Therefore, we offer another functionality: the option to import departures directly from a spreadsheet.
Let's see how to do it. You can create all your departures in a spreadsheet with different columns for Start Date, End Date, Adult Rate Price, Child, Infant, Code, Block, and Product Note. I will remove the "supplier note" column as it's not possible to create supplier notes this way. Once you've created the departures, you can update them later and add the supplier note. We explain how to add supplier notes to multiple departures in another video.
The Spreadsheet Import Process
In this video, we'll focus on how to import this information from a spreadsheet. Once you have all your departures here in this format – in our example, we're creating two different departures per day with a distinct product note – you can save the file as a CSV file, separated by commas, like this one.
Finalising the Import
Once you have this information, you can copy the data (without headers) and then paste it here. After all your departures are pasted here, you simply need to click on Create Departures listed below, and all those departures will be created. We can verify this by going to Dates and Prices, where you'll see all those departures with their corresponding product notes. And that's all!
