Booking engine confirmation emails (article)

There are three special email templates per website which can be configured to be sent either manually or automatically at particular stages once a customer has completed a booking. They can be edited in Configuration > Channels > Email templates and can contain data regarding the customer, product and booking by using tags as explained in the Documentation manual (Emails / Invoices).

The three templates are:

  1. New booking email: Sent to customers (or Agents) automatically once they have made an online booking. You can also resend this (or send for the first time for staff bookings) from within the main booking edit screen for an individual booking (on the Docs & Comms tab). More information, sample template
  2. Provisional email: If using a supported payment gateway this email can be configured to be sent automatically once the deposit payment has been received. It can also be sent manually by staff once the booking status has been set to provisional.
  3. Confirmed booking email: If using a supported payment gateway this email can be configured to be sent automatically once the full balance has been received. It can also be sent manually by staff once the booking status has been set to confirmed.

The templates are sent as HTML, so you can use HTML tags for things like headings, lists or adding images. Learn more about HTML / CSS email use in email templates.

These are just the website specific emails for particular stages of the booking process, you can load an unlimited amount of email templates for manual sending by heading to Configuration > System & setup > Booking templates (Email).
