What the integration is

Airbnb is an online marketplace that connects travellers with hosts offering places to stay and local experiences. The TourCMS Airbnb integration connects TourCMS with Airbnb Experiences, so operators can sell tours on Airbnb while continuing to manage operational availability in TourCMS.

In practice, this means your experience content stays in Airbnb, while TourCMS handles the operational side of selling: mapped products, departures, bookings, and related updates.

What the integration supports

  • Product mapping between a TourCMS tour and an Airbnb Experience

  • Product disconnection when you no longer want TourCMS to manage an Experience

  • Departure management, including synchronising instances from TourCMS to AirBnB

  • Booking creation for eligible AirBnB bookings into TourCMS

  • Booking cancellation when AirBnB sends a cancellation

  • Booking modification handling through a cancel-and-rebook flow in TourCMS

Operational benefit: You continue to manage departures, capacity, and core availability in TourCMS, reducing duplicate work and helping prevent overbookings.

 

What the integration is not

  • It is not a product content manager. TourCMS does not maintain your AirBnB product content, images, descriptions, or policies.

  • It is not for Airbnb Services. Only Experiences are supported.

  • It is not pickup management. Pickup functionality is not supported as part of this integration.

  • It is not a way to support all product models. Some product and pricing configurations in TourCMS do not map cleanly to Airbnb limitations.

    You continue to manage departures, capacity and pricing in TourCMS. The integration keeps Airbnb updated automatically, so you don’t have to maintain schedules in two different systems.

  • Reduced overbookings and manual work
    Availability is synchronised between TourCMS and Airbnb. When a booking is made on Airbnb, the spaces are reduced in TourCMS, helping prevent overbookings and removing the need to re-key reservations.

  • Consistent product setup and control
    You stay in full control of your product configuration in Airbnb (content, images, descriptions, policies) while TourCMS focuses on departures and availability. This separation keeps content management flexible and operational data reliable.

  • Automated booking flow
    Bookings, modifications and cancellations coming from Airbnb are handled via a standardised flow in TourCMS. This makes it easier for your team to recognise and manage Airbnb reservations alongside all your other channels.

  • Scalable channel management
    Once your Tours and Channels are properly mapped, adding new Experiences or adjusting availability is straightforward, helping you grow your Airbnb sales with minimal extra effort.

How to manage Airbnb bookings in TourCMS

Managing modifications

Airbnb processes modifications by replacing the old booking with a new one.

  • What you will see: In TourCMS, a modification appears as two separate entries:

  • How to track them: Both bookings will share the same Agent Reference (Ref#). Audit trail notes are automatically added to both files, making it easy to see they are linked.

Cancellations

  • Direct action: Airbnb does not ask for permission to cancel; they execute the cancellation and notify TourCMS.

  • Failed cancellations: If a cancellation fails in TourCMS (e.g., due to internal status locks), the system will automatically send a "Cancellation failed" email to the Palisis support team. Note: You must have this email template configured in advance.

ℹ️

Any existing future bookings created in Airbnb before the connection with TourCMS cannot be managed by TourCMS. TourCMS cannot process cancellations or modifications for those bookings.

 

Good to know

  • Experiences in Airbnb only feature one “Offer type”, meaning one type of departure in TourCMS terms. If you have a complex product in TourCMS, e.g. a departure with lunch and a departure without lunch, or a departure for each language, those will need to be separate Experiences in Airbnb.

  • Airbnb supports Adult, child and infant rates only.

  • Age bands for each rate are set by Airbnb and may not mirror your tour. Adults are 13+, Children 2-12 and Infants under 2.

  • It is not possible for child or infant prices to change based on date/time; they are set at the Experience level.

  • It is not possible to change the Adult price on a departure once a booking has been made for that departure on Airbnb.

  • Only TourCMS tours with a valid Mapping Assistant configuration will be available for connecting to your Airbnb Experiences. If you don’t see a TourCMS tour listed in the connection window, contact Palisis support for Mapping Assistant help.

  • Airbnb does not send any customer emails over the API. All contact with the customer is handled via Airbnb's own messaging system.

FAQ

What is the single most important thing to understand before setup?

The integration connects Airbnb Experiences to TourCMS operational availability. It does not manage your product content in AirBnB, and it works best when the TourCMS product structure is simple and compatible with AirBnB’s offer, pricing, and timing rules.

Can I use one Airbnb Experience for multiple TourCMS variants?

Usually no. Because AirBnB supports one offer type per Experience, products with multiple departure variants often need to be split into separate Airbnb Experiences.

An Airbnb booking was changed or cancelled, but what I see in TourCMS is confusing. How should it look?

 

  • Modifications in Airbnb are handled as cancel + new booking in TourCMS:
    • You’ll see the original booking cancelled plus a new booking with the updated details.
    • Both share the same Agent Reference (Ref#) and have audit trail notes linking them.

  • Cancellations are sent directly from Airbnb without asking permission:
    • If a cancellation fails in TourCMS, a “Cancellation failed” email is sent using the channel’s template (make sure this template is enabled).
  • Any future bookings created in Airbnb before the TourCMS connection cannot be modified or cancelled via TourCMS – they must be managed directly in Airbnb.
